Resource profile management

All resources have a resource profile that can be viewed and edited by users with the appropriate permissions.

To view and edit individual profiles:

  1. On the main menu, click Environment | Resources.

  2. Find the individual resource by navigating the Functional or Geographical hierarchy tree structure (if you know where they are within the business) or by typing their name into the filter field.

  3. Once you see the person you are looking for click their name to display their profile.

  4. Edit the fields that you would like to change. You can do this by simply typing in most of the cells, however there are a few special cases including:

    1. The grade of the resource is temporal so when editing this you will be presented with a pop-up window where you can add in grade changes.

    2. The hierarchy positions are limited to the units that have been set up in Dayshape so when editing this field, a pop-up window will appear where you can select a unit to move the resource to.

    3. The traits (resource skills) can be added one at a time after selecting Add Trait at the bottom of the page. Note that for some traits it will have been configured as relevant to include Competency and Preference.

  5. Select Save Changes at the top right once you are happy with the changes made.

Most (if not all) resources will also be linked to a Dayshape user. This is needed if they need to login and view their schedule. There is a close link between the resource and the user, and all this information is stored in the Resource page. You can create a user for a resource, or edit their existing user by following the steps below:

  1. Select the Edit Dayshape Access button that can be seen under the resource’s name at the top of the page.

  2. A pop-up window will appear where you can edit the user profile details.


    1 Guid - should be aligned with the internal login credentials of the user.

    2 Viewable Units - defines the range of functional units that this user can view, based on the associated ‘viewable’ permissions.

    3 Editable Units - defines the range of functional units that this user can edit, based on the associated ‘editable’ permissions.

    4 Editable for Self - this check-box determines whether a user should have the ability to edit the resources to which they are linked. It is almost like reducing someone’s editable units to just one resource.

    5 Timezone - sets the timezone that will be displayed when this user logs on.

    6 Groups - determines which permission types the user will inherit.

    7 Calendar Feed - enables display of Dayshape bookings and/or unavailabilities in third party calendars. See User Personal Profile for Calendar Integration set-up.

  3. Click Save to save any changed details.
